What should I do when an addendum arrives?
Work through these steps the same day. Each one protects your price or your place in the tender.
- 1Check that it came from the employer and carries the right tender reference. Note its number and date, and check that no earlier addendum is missing.
- 2Read each change against the document it amends. Use the addendum's wording from now on.
- 3Reprice any changed items, units or quantities. Ask suppliers to confirm any quote the change affects.
- 4Check the new deadline, if there is one. Reset your internal dates, and check that your quotes still hold.
- 5Check bid validity and the bid security. Ask your issuer to amend the security if its amount, form or dates must change.
- 6Update your forms, method statement and programme. Add any new required document to your checklist.
- 7Do what the addendum asks to confirm receipt, if it asks. Keep proof of when you received it.
- 8If you have already submitted, change your bid before the deadline. Send a signed substitution or modification notice (ITB 24).
